Status: Temporary, Full-time, 1-year Contract (option of renewal for 3 years total)

New Brunswick Association of CBDCs (NBACBDC) is a non-profit organization that is here to help New Brunswick’s entrepreneurs grow successful and sustainable businesses. For over 40 years, CBDCs programs have become staple in the economic landscape for rural New Brunswick businesses.
PRIMARY FUNCTION
We are seeking a driven and organized Project Clerk who is interested in being part of a passionate team that delivers high quality customer service while supporting processing of grants, invoices and reports. This is an exciting opportunity to become part of a program that assists small businesses with digital adoption and partners youth with entrepreneurs to grow business online in Atlantic Canada. Reporting to the Senior Project Manager, this position is responsible for corresponding with clients/applicants, processing applications, and initiating invoices and payments while liaising with program partners, and participating in program reporting.
This position is for a one-year contract with potential for extension contingent on continued program funding.
JOB DUTIES & TASKS
1. Provide front-line customer service to prospective applicants/clients
a. Answer questions, provide information and communicate criteria for acceptance into the grant program.
b. Conducts grant review for accuracy and completion, request required documentation where needed.
c. Conduct timely follow-ups and provide additional program guidance, including referring applicants to approved industry experts where appropriate.
d. Collaborate with team for resolution or escalate client services issues as needed.
2. Client Relationship Management:
a. Enter client contact and interaction information into CRM, manage and maintain database of records as needed.
b. Build rapport and maintain client relationships, lookup client interaction history if necessary to provide better service to clients.
3. Supports payment and invoice processing for the program
a. Initiate invoice processing and verifies expenses with Bookkeeper in accordance with program criteria.
b. Coordinate with payroll for student employments.
c. Analyze invoice/expense reports for requirements and accuracy.
d. Reconcile invoices with Bookkeeper to ensure payment accuracy by verifying entries and comparing system reports to balances
e. Support reconciliation of monthly statements and related transactions
4. Provide support to NBACBDC finance department for project initiatives and reporting.
a. Support project finance monitoring, specifically government contract reporting requirements.
b. Establish, with Bookkeeper, standardized processes for invoice submissions and reporting in conjunction with internal stakeholders.
5. Other related duties:
a. Liaises with program staff, service providers, program partners, and stakeholders for successful grant delivery
b. Perform miscellaneous job-related duties as assigned.
QUALIFICATIONS
• A degree or diploma in Bookkeeping, Accounting, or Finance related field, and extensive customer service experience, or an equivalent blend of education and business-related experience.
• Experience in supporting bookkeeping and/or accounts payable.
• Experience in business administration, sales and/or customer service.
• Experience with working in an office environment and managing confidential material and information with discretion, diplomacy, and tact.
• Strong attention to detail and organizational skills.
• Strong computer skills in MS Suite, Outlook, CRM, Sage and third-party payment providers.
• Passion for client services; customer service oriented with a demonstrated ability to identify opportunities and solve problems.
• Thrive in a fast-paced environment, follow-through, and ability to juggle competing priorities with limited supervision.
• Excellent communication skills, including effective listening and the ability to communicate clearly both verbally and in writing (French & English).

• Remuneration: Starting salary $42,000
